Share projects, manage permissions, provide feedback, and collaborate with team members and clients in real-time

Overview

Wubble's collaboration system enables seamless teamwork on audio projects. Share projects with team members and clients, control access with role-based permissions, provide feedback through timestamped comments, track all activity, and maintain complete transparency throughout the production process.

Whether you're working with internal teams, external clients, or freelance contributors, Wubble provides the tools you need for efficient, organized collaboration without the chaos of email threads and file attachments.

Permission Roles

Wubble uses four permission roles to control access and capabilities. Choose the appropriate role based on what each collaborator needs to do.

Owner

Full control over the project including the ability to delete it permanently. Owners manage all collaborators, permissions, and project settings. Each project has one owner (the creator), but ownership can be transferred.

Best for: Project creators, account owners, team leads

Editor

Can make changes to project content including audio edits, regenerating elements, mixing, and exporting. Editors can comment and view history but cannot manage collaborators or delete the project.

Commenter

Can view project and provide feedback through comments but cannot make changes to the audio or content. Perfect for clients and stakeholders who need to review and approve without editing capabilities.

Best for: Clients, stakeholders, reviewers, approvers, feedback providers

Viewer

Read-only access to view and listen to the project. Cannot edit, comment, or download. Useful for sharing finished work with people who need to see it but not interact with it.

Sharing Projects

Share projects with specific users, teams, or create public links for broader access. Multiple sharing methods accommodate different collaboration scenarios.

Link Expiration

Set expiration dates on sharing links to automatically revoke access after a specified time. Perfect for temporary client reviews or time-limited sharing.

Password Protection

Add optional password protection to sharing links for an additional security layer. Share the password separately via secure channel.

Link Analytics

Track who accessed your shared links, when they viewed the project, and how much time they spent listening. Understand engagement with shared content.

Comments & Feedback

Wubble's comment system enables precise, timestamped feedback directly on audio content. Comments are threaded, resolvable, and integrated with notifications for efficient collaboration.

Timestamped Comments

Add comments at specific points in the audio timeline. When viewing comments, click to jump directly to that timestamp for context. Essential for precise feedback on audio content.

Threaded Discussions

Reply to comments to create threaded conversations. Keep discussions organized and contextual. All participants receive notifications for new replies.

@Mentions

Mention specific collaborators with @username to notify them directly. Ensures the right people see important feedback without notification overload for others.

Comment Resolution

Mark comments as resolved when addressed. Resolved comments are hidden by default but can be viewed in history. Helps track progress and outstanding feedback.

Rich Text Comments

Format comments with bold, italic, links, and lists for clarity. Attach images, reference files, or link to other projects for comprehensive feedback.

Activity Tracking

All project activity is automatically logged and visible to collaborators. Understand who did what and when for complete transparency and accountability.

Complete Activity Log

View chronological log of all project actions: edits, comments, shares, downloads, version changes. Filter by user, action type, or date range.

Real-Time Updates

See when other collaborators are viewing or editing the project. Prevents conflicts from simultaneous editing and enables coordination.

Email Notifications

Receive email notifications for important events: new comments, @mentions, permission changes, project shares. Configure notification preferences per project.

In-App Notifications

Real-time in-app notifications keep you updated without email clutter. Click notifications to jump directly to relevant project section or comment.

Managing Collaborators

Project owners and editors can manage collaborator access, permissions, and roles throughout the project lifecycle.

Change Roles

Upgrade or downgrade collaborator roles as project needs change. For example, change a client from Commenter to Viewer after approval to prevent further feedback.

Remove Access

Remove collaborators when their involvement ends. They lose all access immediately and won't receive future notifications. Previous comments remain visible.

Transfer Ownership

Transfer project ownership to another user. Useful when leaving teams, reassigning projects, or organizing project ownership. Only owners can transfer.

Bulk Management

Add or remove multiple collaborators at once. Apply the same role to multiple users simultaneously. Efficient for team changes or project handoffs.

Best Practices

Use Appropriate Roles

Give collaborators the minimum permissions they need. Clients typically need Commenter or Viewer, not Editor. Protect production work from accidental changes.

Set Expectations Early

When sharing projects, include a message explaining what you need from collaborators: feedback, approval, review by specific date, etc. Clear communication prevents confusion.

Use @Mentions Strategically

Mention specific people when you need their input on particular feedback. Avoid over-mentioning which creates notification fatigue. Target notifications to relevant collaborators.

Resolve Comments Promptly

Mark comments as resolved once addressed. Keeps feedback organized and helps everyone track outstanding items. Unresolved comments = work remaining.

Review Activity Regularly

Check activity logs to understand project progress, ensure feedback is being addressed, and verify all stakeholders are engaged. Activity patterns reveal collaboration health.

Clean Up Collaborators

Remove collaborators who no longer need access. Reduces notification noise, improves security, and keeps collaborator lists manageable.

Use Sharing Links for Broad Access

For presentations, portfolio sharing, or one-time reviews, use sharing links instead of adding individual collaborators. Easier management and automatic expiration.

Document Major Decisions

Use comments to document important decisions, creative direction, or client requests. Creates searchable history and prevents "who said what" confusion.

Test Permissions Before Sharing

Before sharing with clients, verify permissions work as expected. Create a test user with different roles to ensure appropriate access levels.

Communicate Outside Wubble Too

For critical feedback or major changes, follow up via email or meeting. Wubble collaboration tools complement but don't replace all communication.
